Overview of Task Tracking

Task Tracking uses task, task rules, projects, and statuses to help users manage workflow in Servicing Director:
  • Tasks: A task is a single unit of work at the loan level, such as Contact borrower or Send letter. A task can be independent (a standalone task) or part of a series of work units (a project). A task can be assigned to only one user at a time and can have only one status at a time. However, a task can be assigned to the same loan multiple times and can be assigned to multiple loans simultaneously. In addition, a task can be used in more than one project or more than once in a given project.
  • Task rules: A task rule consists of a task description and all behavioral settings for that task, such as the user assigned to the task, the priority, and so on. Each task rule represents a step to be completed in a project. Task rules only exist in projects, and each task rule is unique.
For example, a project called process payoff might include steps such as:
  • document receipt of written request for a payoff statement,
  • obtain the original loan documents,
  • check for a prepayment penalty, or
  • prepare the payoff statement.
Set up each of the steps as task descriptions, add each description to the project, and then set the task rules for each description.

Task rules are independent of task descriptions so you can use a task description in multiple projects. For example, the task description, "obtain the original loan documents" might be used as part of a project called Prepare Foreclosure File. When you add that task description to the project, set the task rules for that description that are appropriate for that project.

When you set task rules, you create dependencies between tasks. For example, you can set a task rule so that the due date of a task is based on the due date of its parent task, or you can set the task rules so that the due date for all tasks in the project are based on when the project was assigned to a loan.

When you assign a project to a loan, all tasks and their associated rules are assigned to the loan. Every time that project is assigned to a loan, all the descriptions and rules are in effect. For example, the user assigned to the first task in the project will always be the user assigned to that task.

Projects

A project is a predefined set of tasks that are collectively assigned to a loan, such as Prepare File for Foreclosure or Evaluate for Loss Mitigation. A project must be set to active to make it available in the modules.

When you add tasks to a project, you develop a template that outlines the series of tasks that must be completed. The root task is the first task added to a project and cannot be completed until all other tasks in the project are completed.

An ad hoc project allows standalone tasks to be added at the loan level.

Statuses
 

You can use statuses to help manage the workflow. A status indicates the condition of a task relative to completion. Servicing Director delivers two task statuses (Pending and Completed), but you can create other statuses to suit your business needs, such as Deferred, Not Applicable, and In Progress.

Task tracking activities can be performed at the loan level in the Adjustable Rate Mortgages, Collections, Customer Service, Disbursements, Loan Setup, and Tracking modules. As users work on loans in these modules, they can add tasks, update statuses, and change assigned users until the task is completed or until all tasks in a project are completed.
