Users can email from the Servicing Director applications, and certain events and processes also send emails automatically.
Servicing Director can email in the following ways:
Users can email letters, reports, exports and statements directly from the Servicing Director applications.
Certain Event Manager events can also send emails automatically.
The Customer Self-Service web page add-on can also send emails.
Servicing Director will send all of these emails to an email server you set in the Company setup screen.
Open System Administration, and then click Setup. The Setup screen appears.
Select Company, and then click Open. The Company screen appears.
In the Email Settings section, enter your email server name in the SMTP Server Name field. SMTP stands for Simple Mail Transport Protocol, the computer industry standard for basic emailing. All the various Servicing Director email features will send emails to the one server you enter here.
In the Originating E-Mail Address field, enter an address for your Servicing Director system as the default email address to place in the From or Sender field of the email messages.
Click OK.
Open System Administration, and then click Setup. The Setup screen appears.
Select Company Email Options, and then click Open. The Company Email Options screen appears.
Under Security Options, select any of the following check boxes:
Allow Emailing of Reports From Event Manager:
Allows users to send reports via e-mail from Event Manager or from Servicing Director modules using the Options menu > Module Reports.
Allow Emailing of Payoff Quote From Payoff Addressee Screen:
Allows users to send a Payoff Quote statement using email from the Payoff Addressee screen.
Allow Emailing Letters From Send Letters Screen:
Allows users to send letters using email from Servicing Director modules.
Under Message Options, do the following:
Select whether these emails will use the user's email address or the Originating E-Mail Address set in the Company screen above.
Add text to the Email Subject and Body sections. This text will appear in each of these email messages.
The Event Manager events E-Mail Notification event and the Pending Reminders E-Mail Notification event have the Servicing Director server send an email message about these events.
Both of these events send emails to your Servicing Director users.
The E-Mail Notification event emails only the Servicing Director users which have the Receive Event Manager Notification option enabled in their Servicing Director Security settings for the user.
If you have the Customer Self-Service optional add-on software for Servicing Director, your Servicing Director system will also send emails in two more ways:
The borrowers (or members) using the Customer Self-Service web pages may be able to select to receive their monthly billing statements electronically when you enable that option. When electronic statements are chosen, the choice includes verifying the borrower's email address. For this email verification, the Customer Self-Service business application web server (also known as ILSWebBus) sends an email to the borrower to verify.
If the borrowers have completed the process to select electronic billing statements, then each time the Event Manager Monthly Billing Statement Update event runs, any loans set to have electronic statements will be emailed. For this email, the Servicing Director server sends an email message about the new statement being available to view online.
The Servicing Director software relies on Microsoft Windows SMTP components on each Windows computer to send email messages.
Servicing Director provides the content for the email, but Servicing Director relies on the Windows components to do the rest of the task of creating the email, sending it to your email SMTP server, and having your email SMTP server accept and forward the messages.
Servicing Director uses other Windows components to communicate with Windows and request the SMTP emails. Servicing Director uses Collaboration Data Objects (CDO) for Microsoft Windows and Object Linking and Embedding (OLE) automation for Microsoft SQL server. CDO is a Component Object Model (COM) that simplifies writing programs that create or manipulate Internet messages. OLE automation is a method for Microsoft SQL server to interact with Windows.
Users emailing letters, reports, exports and statements create emails from the computer running the Servicing Director applications. For example, if a user creates the document from their laptop computer, the laptop computer is creating the email and sending to your email server.
If your email server requires Windows account credentials to email, the Windows user account which opened the Servicing Director applications will be the credentials Windows provides for the email authentication.
If the Windows computer creating the email has any issue communicating with your email server or sending an email, the Servicing Director applications will display a Windows email or SMTP error message. If you do get a email error message, have your local IT or administrator resolve it as a Windows emailing issue outside of the Servicing Director applications.
