Files are filling up the archive folder
Fusion Servicing Director files are filling up the Archive folder.
The Fusion Servicing Director Archiver option automatically stores copies of Fusion Servicing Director letters, reports, and other documents. Over a period of time, the number of files can fill up the Archiver storage folder.
Have your local IT work with Microsoft support resources to determine the manageable number of files for your Archive folder based your business use. Note: Archived documents consist of both an archived document and also Fusion Servicing Director database information about each document and where it is stored. The Fusion Servicing Director applications use the database information to locate and open each archived document. This means in most cases, you have to manage the Archive folder using the solution below that will include properly managing the database information.
Workaround:
Choose one or more of the following:
- Create a new active archive folder:
- New archived documents will be stored in the new active archive folder, while previously archived documents are still stored and online in their original location.
- The best practice is to create new archive folders periodically, sending new archive copies to a new folder location. Periodically having new folders breaks up the files into smaller sets by date, making them easier to manage. For example, you might create a new folder on the first of every year, breaking your archived documents into sets by year.
- Have new folders that you will use to archive documents shared on your network, with permission granted to your Fusion Servicing Director Windows desktop users to write files to the folder.
- Register those folders using the Archiver Options Fixed Hard Drive screen.
- Set the new folders as the Active Folder and/or Reserve Folder fields on the Archiver Options screen.
- Move individual archived documents:
- You use the Archiver Options Manage Masters screen to move individual archived documents from one online registered folder to another online registered folder.
- Open the Archiver Options Manage Masters screen.
- Select the archived documents, selecting the source archive folder and the desired document.
- Select the destination archive folder.
- Click the Move button.
- Move the entire archive folder to a new network location:
- This is an advanced alternative to moving archive documents using the Manage Masters screen.
- You can use Windows procedures to move an entire archive folder to another location where there is more network storage available.
- This is an advanced alternative because your database administrator has to manually modify the Fusion Servicing Director database information which stores the network path to the folder.

- Place old documents "offline":
- Old documents are defined by your users as files they likely won't need to view.
- Taking documents "offline" is an informal step of using Windows to move groups of documents files or an entire registered folder to some other low cost offline (not shared on the network) storage location.
- Notice that the Fusion Servicing Director database is not updated by this step, so the Servicing Director applications will generate an error message if and when the users attempt to open the old document.
- If the users do want to view an old document, it will have to be located in the offline storage location, and returned to the original shared network location.
- Delete individual archived documents:
- You use the Archiver Options Manage Masters screen to delete individual archived documents.
- Open the Archiver Options Manage Masters screen.
- Select the archived documents, selecting the source archive folder and the desired document.
- Click the Delete button.
- If you want to delete an entire Archiver registered folder, the folder must be empty first by deleting all the archived documents in the folder.
- Enable the archiving in PDF format option.
- If you haven't already done so, enable the Fusion Servicing Director archiving in PDF format option, switching from the default of archiving in RTF format.
- The archiving in PDF format should use less storage space per document than the default RTF format.
